Exhibitor and Speaker Information and Applications

​To make this event accessible to as many people as possible, cost is kept to a minimum for everyone. 

• No fees for exhibitor tables are collected.
• No speaker fees are paid.
• No entrance fees for participants.

The following will be provided to exhibitors and speakers prior to the event.
​Guidelines may be updated if VBGS receives further guidance from the library. 

General guidelines

• Exhibitors and speakers may enter for set-up at 9:30.
• Enter through the side entrance, the main doors will not open until 10.
• There is a kitchen area with a refrigerator connected to the exhibitor room which you are welcome to use. There is no microwave. Food and drink are permitted in the exhibitor room, not in the auditorium.
• We want to ensure the event is enriching and welcoming to all. We encourage open discussion among visitors and participants, we ask that no uniforms, flags, or images of culturally sensitive items be worn or displayed. If in question, feel free to reach out. 

Exhibitors

• Tables are 6’ wide.
• At least two chairs are available per table, more if needed.
• VBGS will clip a printed sign to your table to identify your organization.
• You may use your own table covering, sign, etc. but nothing can be affixed to the tables or walls with tape or push pins.
• Sales are allowed. (Because it is co-sponsored by the library.) 

Speakers

• Speakers are preferred to be in person.
• The allotted time is 50 minutes, including Q&A.
• Presentations will be on Zoom as well, online participants will not have video or microphone capabilities.
• Presentations are recorded for VBGS member viewing. You may set a time limit but we request you allow at least 2 weeks. 
• Please have digital versions of any in-person visuals to share with online viewers. 
• The computer planned to be in use is a Mac with MS Office loaded.
